RFQs: What do they mean?

 

RFQs, RFPs, RFIs and RFTs – You may have come across these terms as variations of the Request for x. While they may seem confusing and difficult to remember, don’t fear!

We’ll help you understand the RFQ (check out our other blogs for an easy guide to RFPs and RFIs).

 

So…what is an RFQ?

An RFQ, also known as the Request for Quotation, is a formal document used by the buyer to invite suppliers (vendors) to present their price quotations for their goods/services in order to stand a chance of supplying to that buyer.

Once the price quotations are sufficiently assessed, the buyer will choose the vendor that best matches its evaluation criteria for the goods/services they need.

Note: Suppliers and vendors are terms that are used interchangeably… If you see ‘vendor’ being used, know that it simply means the supplier!

 

When are RFQs used?

RFQs are usually used because the buyer already knows the goods/services they are looking to purchase, and an estimate of the cost, however, they require more information regarding the prices offered by multiple vendors.

 

Who uses RFQs?

Buyers looking for further pricing information from vendors — this can include:

  • Vendor cost
  • Product details
  • Terms of payment

 

Types of RFQ

There are typically four types of RFQ processes:

Open Bid RFQ

The RFQ is issued to all interested companies. This allows for a fair and competitive process, however, it can become time-consuming and costly for vendors submitting proposals.

Sealed/Closed Bid RFQ

The RFQ is sent to vendors — vendors cannot see other bids, nor are their names visible. This ensures fairness and non-collusion between vendors.

Invitation-Only Bid RFQ

When a limited number of vendors are available for providing the goods/services, a buyer will issue the RFQ to these specific vendors. This can streamline the process; however, it also closes the buyer off to other opportunities.

Reverse Auction RFQ

The buyer issues the RFQ and receives bids from many suppliers, making for a competitive environment. This allows buyers to drive down the cost of the vendor’s goods/services. However, the quality of bids can be misleading and the lowest price does not mean the best value!

  

RFQ Process

The RFQ process is a fairly simple one when broken down into these easy steps:

  • Buyer writes the RFQ — buyers will outline what they are looking for:
  • Company information — general information about your company.
  • The project aims — how the vendor’s goods/services will benefit you.
  • Timescale — when the buyer expects delivery.
  • Pricing — payment terms and how much you are hoping to spend.
  • Contact information — how the vendor can best contact you.
  • Identify vendors — vendors will be found based on experience and suitability.
  • Send RFQ to vendors
  • Review — the buyer will review the responses to the RFQ and decide on a vendor based on the lowest price offered/overall suitability.
  • Choose the vendor — the vendor is now selected and the agreement is finalised.

 

Advantages of the RFQ

  • Helps buyers make the most informed decision about selecting a potential vendor to work with.
  • Buyers have all the power — they select based on the lowest possible price for the goods/services they need.

 

Disadvantages of the RFQ

  • Unsuccessful negotiations after an award can mean a loss of contract – therefore, the buyer must evaluate if the cost benefits of the RFQ outweigh other benefits that the selected vendor can supply.
  • Can reduce competition by narrowing down to only price considerations, even if suitable goods/services may be available from other vendors.
