Looking for an RFP response template? Here are some tips on what they should include

Are you wondering what an RFP response template consists of? Perhaps you are exploring bidding for contracts for the first time and want to know the best way to approach. Or, you may have experience and want to up your game even further. Whatever your reason for stumbling across this blog, we are more than happy to tell you everything we know.

What is an RFP?

So, let’s start out easy and look at what an RFP is. A request for proposal (RFP) is a document created by a buyer who wishes to procure services. Depending on the sector, these services may be building work, the supply of materials/assets, consultancy support, and so on. These documents give potential vendors all the information they need about the contract. Then, they can begin to create their bid proposal/response.

An RFP tends to be larger and more complex than a request for information (RFI) and a request for quotations (RFQs). RFPs usually encompass the entirety of the project. Vendors will often be required to answer long and complex answers. So, becoming a successful RFP Writer can often be challenging.

Requests will often include a statement of work including the tasks to be performed. As well as a specified timescale for completion. This may include a specific format that the buyer is looking for. You must ensure you understand the buying organization and reflect this in your proposal.

You may have heard of boilerplate responses. The concept is similar, but they are different. A boilerplate response is a much less detailed template. They are generic responses that can be used with minimal effort for multiple different bids.

Want to see some examples? Here’s some relating to certain industries

Creative

The buyer may be looking for a website design. This provides you with a particular theme and areas that they are looking to enhance and focus on.

You may be provided timescales and formatting that they are looking for your bid proposal to take.

For example, you may be required to complete quality questions which outline your approach to things like quality management. It may also include your approach to your team’s expertise and reducing your carbon footprint.

As well as this, you may be required to submit a ten-page document. This document needs to be designed to showcase your proposal for the contract. It should outline how each element will be designed and created.

It’s key in becoming a successful RFP Writer that you ensure all elements of the buyer’s requirements are covered. You also need to provide a well-designed and clear proposal, especially in the creative sector.

Construction

You might be an Architectural firm submitting a response to the design of a hospital.

In this, the buyer will likely have a firm idea of the remits of the design. They’ll be looking for a proposal that combines both creative elements with technical expertise and regulatory adherence.

The buyer will likely ask for a designed proposal of your ideas for the design of the building. They should be backed up by quality responses explaining your approach.

Having success as an RFP Writer involves striking the balance between both creative and design elements of your project. As well as your ability to explain these in clear language.

Remember, although you are experts in your field, and it is often difficult to not use industry-specific and expert language. The person evaluating your response might not have the knowledge to understand what you are saying.

Why use an RFP response template?

It can be extremely helpful to use an RFP response template. There are a few advantages to using them, one being that they save a lot of time. Once your RFP response template has been made, it can be used for multiple bid responses. This means you do not have to spend time, money, and resources writing the same information over and over again. You also won’t have to pay designers to design your bid either.

Once your RFP response template is done, it should be easily editable, so minor changes can be made. You don’t want to have information from a different bid as it will be noticed by the buyer.

Having a different buyer’s name or details on your proposal almost certainly will cost you the bid. This is because you haven’t shown that you have checked over the document. So, why would they hire someone who isn’t thorough? Your proposal is supposed to persuade the buyer you are right for the job, so you can’t make mistakes.

Writing an RFP response template

Now, since our bid writers have over 70 years of collective experience, let’s exercise their skills. We are going to use their knowledge to help you learn how to write an RFP response template.

  • Make sure it’s well-written and straight to the point

One of the first and most important points is that your RFP needs to be clear and concise. We always stress this point because it is so important. A lot of people will write proposals that are full of waffle and irrelevant information. The purpose of an RFP response is to clearly state the reasons why your company should be awarded the contract.

  • Ensure it is error-free

You also need to make sure it is error-free. The best methods to ensure this include reading it aloud to yourself. You could also have your device read it to you as well. Both are great ways of picking up mistakes. Another great method is to have someone else read it; this could be a team member. They are a lot more likely to pick up on mistakes and grammatical errors.

  • Choose the right graphic designer

As for designing your RFP response template, you should research graphic designers. There will be some excellent artists out there that will really liven up your RFP response template. You should do thorough research into finding the right one. It can be best to look at a designer’s previous work and see if you think they’re the right fit. You want your proposals to stand out, and a graphic designer is one of the keys to make that happen.

  • Make sure you can make edits

A very important point to remember is that an RFP response template is to be used multiple times. Therefore, it needs to be easily changeable for little but specific details, such as the buyer’s name. If you use the wrong buyer’s name and details on a proposal, you give the reader the impression you’re unprofessional. You show you haven’t taken the time to thoroughly check your work, so why would they want to hire you? Don’t give them any reason not to hire you.
