Our Bid Writing Process – Explained

As Bid Management Consultants, we are often asked various questions about how we work and the bid writing process at Hudson. We aim to keep our process as simple as possible. We work to meet the needs of your business and believe in keeping you informed at all stages. Below, you can find answers to our most frequently asked questions, details of our bid writing process, our design support and what to expect when working with our Consultants.

Initially, we recommend using our Hudson email address to outline the service that you require. If you currently have an RFP that you require support with, you can attach the specification to this email. We will then contact you to assess the needs of your business. If you require our RFP Writing service we will commence a full breakdown of the specification and provide an accurate quote. Once this is agreed we can commence the work involved. Often, our Bid Writers will require access to your internal company policies and procedures to ensure that any technical questions are met with accurate and detailed responses.

Our team of RFP writing consultants will require access to information about your business that you may regard as personal or sensitive data. Therefore, we sign Mutual Non-Disclosure Agreements for all our clients, if required, to ensure that your data, including company names used in testimony, remains private.

In most instances, buyers will ask to see at least 2-3 years of financial accounts and relevant case studies. Some buyers also specify that you must turnover a certain amount in order to bid for the contract, this is to ensure that the winning supplier has the required resources to deliver the contract. However, some contracts allow more recently established companies to bid for subcontracting work and there are often smaller contract opportunities put out to solicitation. We have 60 years of bid writing experience with clients across multiple sectors. Although we are not experts in one particular sector, we are experts in bid writing which qualifies us to apply our fundamental knowledge to various industries.

Our Consultants offer a free telephone consultation to any business interested in our services. This can also be done via Skype, Zoom or other virtual meeting platforms.

We offer three key services.

RFP Writing:

Our RFP Writing service is based on a daily rate which starts at $650. However, the length of delivery is subject to the specification of the RFP and the work involved to achieve the deadline. For an accurate quotation please get in touch and one of our consultants will be happy to assess your RFP specification.

RFP Mentor:

Our guide and review service offers a chance to have your work double-checked by a second pair of eyes before the all-important submission. The service starts at $450.

Proposal Ready:

Get ready to bid for contracts. This service includes three designed and branded case studies, five branded resumes for key personnel and one branded, editable, credentials document which can be used for your future bid responses. All this for just $3995.

Our consultants are highly skilled in creating compelling bids. However, for the technical requirements our Bid Writers may need access to certain company documentation for example internal policies, processes, case studies and company CVs. This will be the same with all consultancies. Don’t worry if you don’t have these documents, we can develop and brand them for you.

In order for work to commence we need a few details about your company and the bid that you wish to apply for. A good place to start is by emailing us with a few details of your business, how long you have been trading and which service you require.

If you require our RFP Writing service, you can also attach the tender specification. Once you have submitted this enquiry, one of our consultants will contact you as soon as possible to discuss the required service, the bid writing process and provide a quote.

Currently we have an 87% success rate based on shortlisting and overall winning of the bids we have submitted. Our Consultants cannot offer advice as to how much you should quote for your services. This is because our clients are the best judge of their own service offering and profit margins.

Yes, our RFP Mentor service offers a full guide and review of your existing bid to ensure that you have effectively answered all the requirements.

Yes, once we have worked together initially and gathered all the information we need, it is likely that the cost of future bids will be lower. This will depend on the specific contract that you wish to bid for and the complexity of the work. Contact us to arrange a free consultation.

Bid Writing does not normally require clients and consultants to meet in person, therefore, we can work remotely with a range of clients throughout the US, UK and globally by corresponding over the phone and email. We do however have offices in FloridaLondon, Manchester and Durham should a meeting be necessary.
