RFQs, RFPs, RFIs and RFTs – You may have come across these terms as variations of the Request for x. While they may seem confusing and difficult to remember, don’t fear!

An RFQ, also known as the Request for Quotation, is a formal document used by the buyer to invite suppliers (vendors) to present their price quotations for their goods/services in order to stand a chance of supplying to that buyer.
Once the price quotations are sufficiently assessed, the buyer will choose the vendor that best matches its evaluation criteria for the goods/services they need.
Note: Suppliers and vendors are terms that are used interchangeably… If you see ‘vendor’ being used, know that it simply means the supplier!
RFQs are usually used because the buyer already knows the goods/services they are looking to purchase, and an estimate of the cost, however, they require more information regarding the prices offered by multiple vendors.

There are typically four types of RFQ processes:
Open Bid RFQ
The RFQ is issued to all interested companies. This allows for a fair and competitive process, however, it can become time-consuming and costly for vendors submitting proposals.
Sealed/Closed Bid RFQ
The RFQ is sent to vendors — vendors cannot see other bids, nor are their names visible. This ensures fairness and non-collusion between vendors.
Invitation-Only Bid RFQ
When a limited number of vendors are available for providing the goods/services, a buyer will issue the RFQ to these specific vendors. This can streamline the process; however, it also closes the buyer off to other opportunities.
Reverse Auction RFQ
The buyer issues the RFQ and receives bids from many suppliers, making for a competitive environment. This allows buyers to drive down the cost of the vendor’s goods/services. However, the quality of bids can be misleading and the lowest price does not mean the best value!
